On-Site Media Team

Your event, covered as it happens.

You have spent a year planning this. On the day you will be dealing with a blocked gate, a trader who has not turned up and an arena running twenty minutes late. Nobody on your committee has time to photograph the parade, interview the man who restored the Bedford, cut it and get it posted while people are still deciding whether to come tomorrow.

That is what we are for.

A trusted media team on the ground

We send a working editorial team from Dispatches Magazine to your event. Not a photographer with a camera bag, but people who commission, shoot, interview, edit and publish for a living, and who already know this community.

The difference shows up on the day. A photographer hands you a folder of images a fortnight later. An editorial team works out that the eighty year old who spent nine years restoring that vehicle is the story, gets him talking, cuts it and has it live before the afternoon display.

Knowing what is worth pointing a camera at is the job. Everything else is equipment.

What we can cover

  • On-site photography across the whole site, not just the arena
  • Video production, from short social clips to a full highlight film
  • Interviews with organisers, exhibitors, societies, traders and participants
  • Short-form vertical video for social
  • Behind the scenes content, which usually outperforms the polished material
  • Live social coverage across the event days
  • Same day editing, on site
  • Publishing throughout the event rather than a fortnight afterwards
  • Key displays, announcements, prize givings and sponsor moments
  • A content library you can use for next year's marketing
  • Post-event highlight material
  • Editorial coverage in Dispatches Magazine, where it suits the magazine and we have agreed it in advance

Let your team run the event while ours tells its story

We work as an extension of your team, not as a supplier who turns up on the morning and asks where the toilets are.

Everything is agreed before the event:

  • The content plan. What matters, what must be captured, what can be missed.
  • Tone and boundaries. Who appears, what is off limits, any safeguarding or sponsor sensitivities.
  • Publishing permissions and account access. Whether we post from your accounts, send to you to post, or run it from ours and tag you.
  • The approval process. Nothing is published without it.

Approving every single item live is the safest option, and it also slows everything down. Most organisers agree the plan and the boundaries beforehand, then let us work. It is your call, and we will say which we would recommend for your event.

How it runs

Before

A planning call, an agreed content plan, a shot list built from your arena timetable, account access sorted and approvals settled. If you want build-up content in the weeks before the gates open, we cover that too.

During

The team works the site across your event days. Shooting, interviewing and editing on site, publishing to the plan. You will know where we are and you can redirect us. If something unexpected happens, and it will, we cover it.

After

Edited material delivered, a highlight film if you have commissioned one, and a content library ready for next year's leaflet, programme cover and social campaign. Where it suits the magazine and we have agreed it, editorial coverage in Dispatches.

An add-on, or on its own

Most organisers add the media team to work we are already doing. The programme, the leaflets, the banners and the season campaign. That is where it works hardest, because the team arriving on site already knows the event, the societies and the story you are trying to tell.

It also works as a standalone booking. If your print is already sorted and you just need the event covered properly, that is a perfectly sensible thing to ask for.

What it costs

Quoted individually, because a one day muster and a three day multi period show are not the same job. The variables are team size, how many days, how much live publishing you want, and whether a highlight film is included.

Tell us about your event on the form below and we will come back with a proper proposal within one working day.

The more you can tell us here, the more useful our first reply will be. If you do not know something yet, leave it or write "not sure". We come back within one working day.

Fields marked are required.

1. The event
Most events are well served by two people. One shooting, one editing and publishing.
2. What you want covered
3. Publishing and approvals

Nothing goes out without an approval process we agree with you first.

Approving every item live is the safest option but it slows things down. Most organisers agree the plan and the boundaries beforehand, then trust us on the day.
4. Before, during and after
5. Practicalities
This is not a commitment. It stops us proposing something you cannot fund, or under-resourcing the job.
6. You
